The situation
The customer, an international SaaS player, wanted to fit out two identical meeting rooms for Zoom Rooms. The BOM was already there: Mac Mini M4, Logitech Rally Bar Mini, Huddly L1 as desk camera, iPad controller, 65" 4K TV. Timing: as fast as possible.
With an installer who only turns screws, the order would have gone out that same week. Not with us.
The advice
BOM revised
With a Mac Mini, Logitech doesn't deliver the best result per euro. We proposed the Biamp VBC 2500. Same price range, better audio in the room, and a built-in tiling feature that later saved an entire component.
Screens that fit the room
Not the standard consumer TV the customer was looking at.
Signage or pro panel instead of consumer. Energy management, longer lifespan, built for long days of continuous use.
Matte coating to minimise reflections from the canal light.
Ownership with the customer
All components, serial numbers and licences in the customer's name. Documentation in their own environment. No vendor lock-in on AVAmigos.
Offer split up
Hardware and cabling as separate quotes. That way the customer could say "yes" or "no" per item, without us forcing everything into one package.
The layout options
At least two layouts worked out per room, with dimensions and sightlines to scale. The customer chose based on visuals, not text.
Our preference: length-oriented setups with floor stands instead of trolleys. Trolleys seem convenient, but people trip over them or damage them.
What it achieved
- When the CEO asked for an extra desk camera halfway through, it wasn't needed. The Biamp's tiling feature already covered the requirement. One component saved, one discussion shorter.
- Scope grew from 2 to 3 rooms without a redesign. The compass still applied.
- The IT team in the US stayed in control. All choices, prices and lead times documented in writing.
- The customer can continue with another AV party tomorrow without losing knowledge. We sell independence, not dependence.
